Job Summary:

As part of Halton Healthcare Human Resources Team, in addition to providing support to the Director, Human Resources and Director, Total Rewards and Organizational Development and the HR Coordinator supports various HR department processes ensuring exemplary employee experiences.

This is what you'll be doing in this very busy position:

  • Assist with entering employee data into the HRIS entries for payroll purposes including employee demographic changes
  • Enter employee data into third party databases for benefits and pension purposes
  • Bi-weekly payroll entry
  • Develop and maintain a variety of spreadsheets including tracking of requests for financial assistance for training and development
  • Generate standard reports from HRIS
  • Triage and respond to in person, phone and e-mail to all inquiries and requests from managers, employees and the general public
  • Management of the physical employee files including working with volunteers, to ensure that the filing pertaining to payroll data entry and large organizational adjustments is completed in an accurate and timely manner, management of physical files in compliance with the file retention policy and the department electronic files on shared drives
  • Provide support to leadership including calendar management for the Directors, draft meeting agenda development, collation of meeting materials in advance of meetings, scheduling of meetings, prepare routine correspondence including confirmation of employment letters, power point presentations,
  • Accounts payable responsibilities including ensuring invoices are paid in a timely manner, maintaining records of invoices, completes monthly reconciliations
  • Maintain HR section of the Intranet
  • Assist with organization of large departmental initiatives as directed by leadership
  • Maintain office supplies
  • Other duties as assigned

  • Post-graduate certificate in Human Resources preferred and minimum of 2 years of related experience
  • Experience working in human resources department preferred
  • Knowledge of relevant employment legislation
  • Demonstrated success in a team based, customer service oriented environment required
  • Demonstrated ability to multi-task with a proven ability to meet tight deadlines from multiple stakeholders
  • Self-directed with excellent organizational skills and able to work with minimal supervision
  • Superior communication, problem solving and interpersonal skills
  • Demonstrates tact, diplomacy and ensures confidentiality is maintained
  • Excellent verbal and written communication skills
  • Advanced skills in Microsoft Office applications including Outlook, Word, Excel and PowerPoint required
  • Experience with Virtuo HRIS would be an asset
  • Must be physically able to do the job
