Status: Temporary Part-time for approx. 12-18 months (must provide availability up to 0.7 FTE)

Department: Operating Room/Medical Device Reprocessing Department

Hours: Primarily Monday to Friday Day Shifts. Available for meetings after hours as needed. (Hours are subject to change based on operational requirements)

Site: Georgetown

The Position:

The Instrument Coordinator supports all aspects of management of instrumentation in the Operating room and Endo Suite and reports directly to Surgical Patient Care Manager. The Instrument Coordinator will be responsible for the instrumentation inventory system. The inventory logging, photographic data and IFU documentation. . The Instrument Coordinator will work in conjunction with SSW in preparing and tracking scopes, instruments and equipment for repairs as well as monitoring and facilitating instrumentation maintenance schedules. The instrument Coordinator has demonstrated MDRD expertise as well leadership skills, communication, coaching and mentoring skills. Will provide expert support to MDRD staff in all zones of the department as well as to the operating room staff. Demonstrates fiscal responsibility when dealing with instrument procurement either new or replacement. Instrument Coordinator will model professional conduct and interpersonal skills while demonstrating expertise in application of CSA, PIDAC, CSAO and Endoscopy standards.

This is what you’ll be doing:

  • Work with the OR Clinical Resource Nurses re instrument needs, repairs, procedure scheduling issues, etc.
  • Management of Instrumentation inventory system, including inventory logging, photographic data and IFU documentation.
  • Development, implementation and management of instrumentation preventative maintenance program
  • The instrument coordinator will collaborate directly with vendors regarding any equipment needs, repairs, and upgrades. 
  • The Instrument Coordinator will coordinate activity to facilitate the flow of instrumentation, supplies and utensils to the end users.
  • Reports on a daily basis to the Surgical Patient Care Manager
  • Provides expert clinical support to the staff in all 3 zones of the MDR department
  • Create & maintain instrument database and all educational materials
  • Develop and implement Standard Operating Procedures
  • Communicate with IT & Operating Room re PICIS system issues
  • In collaboration with the CRN help to develop and maintain pick list and preference cards
  • Identify staff learning needs and develop training programs
  • Implement and evaluate orientation program for equipment for all new staff
  • Participates in the evaluation of employee skills and competence
  • Utilization management, quality program development and indicator monitoring. 
  • Accepts and completes special projects as assigned.
  • Models professional practice related to clinical practice standards and interpersonal skills
  • Communicate with O.R. manager, and Clinical Resource Nurses re implementation of new equipment & processes
  • In collaboration with SSW manage OR stock, supplies and par levels
  • Works with the surgical team to maintain workflow in the OR suites
  • Communicate with frontline staff to ensure priorities are identified, timelines met and instrument issues resolved
  • Commitment and participation in educational programs/upgrading on a regular basis
  • Provide Instrument Tracking (SPM) staff training
  • SPM educational tool development and maintenance
  • Implementation of SPM upgrades
  • Troubleshoot SPM issues

  • Current CSAO certification
  • Minimum 5 years’ experience in MDRD
  • Expertise in all aspects of reprocessing and demonstrated critical thinking skills
  • MDRD and Endoscopy reprocessing experience required
  • Demonstrated leadership experience, including change management and conflict resolution skills
  • Excellent teaching, mentoring, interpersonal and public relations skills
  • Exceptional problem solving  and critical thinking skills
  • Evidence of commitment and participation in educational programs/upgrading on a regular basis.
  • Strong verbal and written communication skills
  • Able to work as a team member with peers, Program Leader, Patient Care Manager, Physicians and other multidisciplinary professionals
  • Contemporary thinking with positive progressive vision
  • Proficiency with Microsoft Word and Excel programs an asset
  • Satisfactory employment and attendance record
  • Ability to direct MDRD staff in critical and complex situations to ensure optimum management of situation with optimal outcome
