This is what you'll be doing:

The Research Administration Coordinator plays a central role in supporting and coordinating clinical research activities at Halton Healthcare to ensure compliance with research standards and efficiency of research operation. Under the direction of the Director, Medical Affairs and Chair of the Research Ethics Board (REB), and working closely with Physician Leaders and researchers, this position supports a full range of clinical research functions.


  • Act as lead contact with clinical researchers, study coordinators, internal and external stakeholders ensure institutional policies and Standard Operating Procedures (SOPs) are in place, creating new policies and SOPs where necessary assist the transition to an internal Research Ethics Board including tracking and monitoring clinician and REB member training
  • Liaise with clinical researchers to support the Research Ethics Board application process and monitoring study progress coordinate day-to-day operations of clinical research activities including monitoring research, liaising with departments, supporting Research Ethics Board operations, providing regulatory support, monitoring training, and answering day-to-day questions
  • Ensure all required documentation is received in a timely manner and is complete, tracking from date of application issue to date of review by the Research Ethics Board
  • Process all appropriate correspondence regarding applications for research studies within a timely manner and in accordance with established policies and procedures
  • Provides support to the Research Ethics Board ensuring requisite documentation is complete and available to support review and decision making for recommendations around new studies, amendments, annual study renewals, etc.
  • Develop and maintain an electronic database to manage and oversee all elements of Halton Healthcare’s clinical research activities
  • Track and coordinate recovery of research costs
  • Maintain hardcopy files as required and in accordance with record retention policies

  • University Degree with experience in project and/or program management
  • Background in Research Administration and knowledge of Canadian clinical research system
  • Experience with survey methods, administration and analysis
  • Relevant experience with Research Ethics Board processes and procedures
  • Relevant experience with research design, procedures, guidelines and standards governing clinical research
  • Excellent written and verbal communication skills with the ability to foster good working relationships and show a high level of tact and diplomacy
  • Ability to prepare meeting agendas, minutes and motions for the Research Ethics Board
  • Proven experience in clinical research
  • Effective planning and organizational skills with a demonstrated ability to set priorities
  • Well-developed organizational and time management skills; and the ability to work flexible hours on short notice
  • Ability to assume responsibility, work on own initiative and independently to bring assignments to successful conclusion
  • Proven accuracy and attention to detail
  • Ability to maintain confidentiality of data
  • Ability to operate audio-visual equipment including videoconference set-up
  • Must be physically able to do the job
  • Satisfactory employment and attendance record
  • Computer fluency MS Word, Excel, Power Point, Outlook, Database Management, Access, CMaRs
